Travelling by car

The Business Design Centre has an on-site car park with 285 spaces, charged at ÂŁ6 for the first 2 hours and ÂŁ3 per hour thereafter. There is also additional car parking in the nearby shopping centre's multi-story car park.

Travelling by bike

The Business Design Centre has an on-site car park with space to park bikes.

Travelling by tube / train / bus

The Business Design Centre is just 5 minutes walk from Angel tube, which is situated, on the Northern Line. Highbury and Islington station is a ten minute walk and is situated on the Victoria line and some mainlines. Kings Cross, St. Pancras and Euston mainline stations are all a short bus ride away. The Business Design Centre is situated on Upper Street, which is serviced by the following bus routes: 4, 19, 30, 38, 43, 56, 73, 341, 394, N19, N38, N4

STAND ALLOCATIONS

The Ethical Corporation Team allocates stands on a first come first serve basis of package (starting with Global, Platinum and Gold sponsors then working through the list as and when your company signed). Where possible, the Ethical Corporation team will try to give you your first choice but if this is not available we will offer you the next best alternative.

EXPO PACKAGE

The following is included in your Ethical Corporation package:

Shell Scheme -

  • Fire-proof carpet
  • “Octanorm” walling system which is a combination of white melaminated hard-board panels supported by white aluminium bars and rods.
  • Fascia board 40 cm high – to run along the top front and top lateral sides of the stand on which the company name will be attached.

Also included is:

  • Exhibitor Staff passes (access to exhibition area only; however, these include lunch). The number of passes may differ depending on what was agreed in your exhibition/sponsorship contract. Please contact Andrew Bold at andrew.bold@ethicalcorp.com if you have any questions regarding the number of staff passes or refer to your signed contract for details.
  • Company Overview (100words) and Logo (EPS format) in the Show Guide.

Additional equipment orders, Telephone and Internet Connection as well as Audio Visual equipment, electricity and furniture need to be ordered separately. Please see the Exhibition Extras section below for information on how to order these.

The exhibition space is yours to do with as you choose. Some exhibitors will bring pop-up stands of their own. The only restriction is that whatever you bring must fit within your allocated space.
NOTE – you do not need to order and pay for the BDC shell scheme / stand modular, as Ethical Corporation will be providing this.

Please note the height restrictions in the gallery hall are 2.7m and the Octanorm panels on the shell scheme are 2.5m (total height). Height restrictions are 4m anything over 4m needs a structural engineer to check anything built over this height.

EXIBITION STANDS

The Exhibition stands will be built as Shell Scheme called: OCTANORM

Standard shell scheme includes the following:

  • Back and side free standing partition walls
  • Carpeted floor
  • Daily Cleaning

Q: “I have a shell scheme stand at the Exhibition, what is Octanorm?”
A: A Modular system of aluminium poles and beams holding 4mm infill panels. These form the walls of the stands.

Q: “What is the FASCIA constructed of?”
A: This is formed of the same system, 175mm deep.

Q:“Is there a ceiling on my stand?”
A: There is an open grid ceiling of 70mm beams fixed diagonally over the stand.

Q: “What is the height to the underside of the ceiling?”
A: 2430mm and the underside of the fascia panel 2325mm.

Q: “What is the finish of all the Aluminium components?”
A: These are finished in white using a powder coating system.

Q: “What is the finish on the wall panels?”
A: White Foamex.

Q: “What size is the wall panel?”
A: 2500mm high x 990mm wide is the overall size of panels when fitted with poles and beams. The face size of the panels is 950mm wide x 2340mm high. The poles are 40mm in diameter projecting forward 18mm.

Q: “How do I fix to the wall panels?”
A: You cannot fix anything to the wall panels using nails, staples or screws. Lightweight polyboard or card panels can be fixed with DOUBLE SIDED VELCRO, TWINSTICK PADS OR BLU-TACK. Support brackets and chain packs must be used to hang heavier items.

STOCK PANELS

These panels measure 2740mm high 1000mm wide and 45mm thick and they are constructed from plywood on a timber frame and painted white. Pins, nails, screws and mirror plates may be used to hang exhibits but should Exhibitors plan to hang anything heavy (i.e. over 5kg), it is advisable to check with Julia Savage (Details above) on suitable fixing methods, fixing points etc.

Please consult your contract – and the floor plan online for the size of your booth, sizes do vary.

EXPO STAFF

As an exhibitor, you are also given 2 Full Access Delegate Passes to allocate to those you intend to man your stand and attend the conference. Should you require further expo passes, they can be purchased at ÂŁ250 + VAT per person by contacting Andrew Bold on the details above.

If we do not receive the names by Wednesday 6th May then there will be no badges available at the registration desk which in turn will not grant entry into the exhibition area. Also your attendee names will not appear on the delegate list which is distributed at the conference.

EXPO TIMES

Please find below the exhibition opening times for all delegates. These may change slightly closer to the event; however Ethical Corporation will inform you of any changes via an email.

9:00 - 16:30

For your information, the busiest times will be during the coffee breaks (i.e. before the plenary sessions commence, the morning and afternoon breaks), lunches and during the two cocktail receptions when conference attendees are able to walk the Expo floor. A timed program with exact timing of the breaks will be sent to you closer to the event.

SET UP TIMES

Sunday 10th May - 12:00 till 18:00
Monday 11th May - 7:00 till 8:00 (additional set up)

Please note that no exhibitors or visitors will be granted access before these times.

Monday 11th May is an additional set up morning to allow exhibitors to finish up; all exhibitors are required to begin set up on Sunday 10th May. All exhibits must be set by 8:00am on Monday 11th May to be ready for registration.

If you are shipping packages in advance it is advisable that you or a colleague arrives in advance, to ensure everything you have sent has arrived. It is important to bring the tracking numbers for the unlikely event a package need be traced.

BREAK DOWN TIMES

Tuesday 12th May - 16:00 till 19:00

The area must be cleared of equipment and rubbish by 18:00 on Tuesday 12th May. Anything left after this time may be disposed of by the facility unless prior shipping arrangements have been made.

Important: In fairness to your fellow exhibitors and Expo attendees, and in the interest of maintaining the integrity of First Conferences’ exhibitions, no one will be permitted to disassemble or remove their exhibit in whole or in part prior to the scheduled beginning of break down on Tuesday 12th May.

You will then need to organise the pick up of your goods at the end of the exhibition, which means you have to:

  • pack the goods
  • specify the name of the addressee on the box
  • take/leave shipping in the designated area (to be confirmed onsite)

All breakdown must be done by 19:00

Please Note: Any Exhibitor who starts to break down their stand before they have been given the go ahead from an Ethical Corporation staff member will be fined £500. We anticipate that the breakdown will commence from about 16:00 – however due to Health and Safety regulations – we would need to make sure all conference delegate are off the exhibition floor first – before exhibitors will be given the go ahead to start breaking down their stands.

Please note, your exhibition booth comes completely empty. Ethical Corporation do not supply any furniture for your booth.

SHIPPING

All shipping is to be organized and paid independently by the exhibitor. If you are shipping in advance it is STRONGLY ADVISED to pre-arrange for return shipping from the venue, before attending the exhibition. It is also important to bring TRACKING NUMBERS with you in the unlikely event a package needs to be traced. Please also bring all necessary packing and shipping materials with you.

It is not the responsibility of Ethical Corporation to arrange shipment although below you will find details of the preferred Shipping Company of the Business Design Centre.
Please use the attached Order Form to arrange shipment and submit credit card details. Please return the form to the details given on the form.

All shipping should be sent to Business Design Centre and should arrive no earlier than: Sunday 10th May (otherwise there will be no one to sign for your delivery, and it will most probably be sent back. Ethical Corporation will have someone at the venue collecting shipments on Sunday 10th May ONLY)

Shipping back: Please note it is not Ethical Corporation’s responsibility to make sure shipments are collected and sent back to their various locations. Please arrange a pick up time and location for your return shipment, and please make sure that someone from your company is there to make sure the shipment is collected.

Any equipment will be left at the BDC, and it will be your responsibility to try an locate it.

For your convenience I have created a Shipping Label for Booth Material and a Shipping Label for Insert Material which must be printed out and attached to all exhibition material boxes.

COMPANY OVERVIEW & LOGO

Exhibitors each get a 100 word overview and their company logo in the Ethical Corporation Show Guide.

OVERVIEW

The idea of the overview is to simply give a brief description of your company ‘products & services’.

COMPANY LOGO

Your company logo must be saved in an EPS format and saved in outlines.

If you haven’t already do so, please submit your company overview together with your company logo to Tam Harrod at tam.harrod@ethicalcorp.com as soon as possible but before 8th April at the very latest.

Ethical Corporation will not be responsible if your logo and overview is not received in time or in the right format. We also reserve the right to change your company overview if it is longer that 100 words.

EyeforTravel will not be responsible if your logo and overview is not received in time or in the right format. We also reserve the right to change your company overview if it is longer that 100 words.

ADVERTISEMENTS

Please refer to your contract to see if you are eligible for submitting an advert in the showguide.

The Show Guide will be produced in A4 (210 x 297mm); our designer has asked that all artwork be produced to this size. Please supply electronic artwork as a Press Optimized PDF with the fonts embedded.

Also note the following:

If the advertisement is to cover the overall page, it should be supplied with crop marks and bleed of at least 3mm.

INSERTS FOR DELEGATE PACKS

Please refer to your contract to see if you are eligible for submitting an insert in the delegate pack.

If you have arranged for an insert as part of your Expo package, please note that they must arrive at the BDC during by 15:00 on Sunday 10th May 2009.

Please print off the shipping label for Inserts and attach to any packages sent to eyeforpharma at the BDC. Please note: The BDC is unable to accept deliveries of material prior to Sunday 10th May, if you are unable to hand deliver your material by 15:00 on Sunday 10th May directly to a member of the Ethical Corporation team then you will have to use a shipping logistics company – details found in the Shipping Information.

If we do not receive the inserts by the date and time stated, we cannot guarantee they will be placed in the Expo/Conference attendee packs.

It is also important to bring the TRACKING NUMBERS with you in the unlikely event a package needs to be traced. If you are unsure whether your package includes an insert then please refer to your contract or contact eyeforpharma directly.

Please note that companies are not permitted to put USB keys, pens and notebooks, etc. as inserts. Please consult Louisa Spiteri at Ethical Corporation (louisa@firstconf.com) should you have any queries.

RISK ASSESMENT FORM

Important: It is the responsibility of every Exhibitor to fill out a risk assessment form and fax/email it back to Louisa Spiteri (+44 (0) 207 375 7511) by Friday 1st May. Any Exhibitor that fails to do this may not be told by the Business Design Centre that they are not allowed to exhibit.

INSURANCE

Whilst we will take every precaution to protect your property during the event, we are not responsible for any loss or damages and recommend that you obtain insurance coverage.

Such insurance is available through our insurer, Insurex Expo-Sure, who will be happy to provide you with a quote. You may contact Elaine Osborne on +44 (0)1206 773942 or at elaine.osborne@hiscox.com.

You are also responsible for insuring against any legal liability incurred in respect of injury or damage to property belonging to third parties, and you may wish to protect your investment against abandonment, cancellation or curtailment of the event due to reason beyond our control.
